Controls matter
Before refunding, confirm the payment source, amount, claim adjudication, prior refunds, reversals and any offsets or recoupments. Use the organization's approval and documentation workflow so the same credit is not refunded twice.
Use A/R controls to find problems early
- Daily or periodic batch reconciliation.
- Unapplied-cash and credit-balance work queues.
- Old A/R reports segmented by payer and reason.
- Duplicate-payment and refund checks.
- Trend review for recurring posting errors.
